Secretary Job Description
POSITION TITLE:
Secretary, Canadian Council for the Advancement of Education - Ontario (CCAE-Ontario)
TERM OF OFFICE:
One year; may not be more than five consecutive years.
PURPOSE OF POSITION:
The Secretary helps prepare and record the activities of the CCAE-Ontario. The Secretary also sits as a member of the Executive of CCAE-Ontario.
RESPONSIBILITIES OF THIS POSITION:
The Secretary:
- pre-circulates all CCAE-Ontario related meeting agendas and minutes
- attends all Board meetings and takes appropriate minutes
- attends all meetings of the Executive Committee of the Board and takes appropriate minutes
- attends the annual general meeting(s) of CCAE-Ontario and takes appropriate minutes
- assists in programme planning and implementation of Board activities
- may be asked to provide on-site assistance at CCAE-Ontario activities
- helps market and publicize CCAE-Ontario events and activities.
- assists with annual business plan development
- attends (as able) all CCAE-Ontario events
- keeps informed about Educational issues as they affect the needs of CCAE-Ontario
QUALIFICATIONS REQUIRED FOR THE POSITION:
- knowledge of the CCAE-Ontario terms of reference and goals
- prior Board of Directors experience, is an asset
- demonstrated leadership ability
- experience in meeting management
- ability to work with a diverse advancement population and other educational stakeholders
TIME REQUIREMENTS:
- preparing for, leading and following up on all related meeting agendas and minutes
- attendance at all CCAE-Ontario Board and Executive meetings
- attendance at all CCAE-Ontario annual general meeting(s)
- participation at all CCAE-Ontario activities and events
LOCATION OF MEETINGS/EVENTS:
- meetings are held at the location called by the President. Typically at least two meetings a year are held in a Toronto location
